DoCS Part-Time Employment Guide

Our part-time employees are a vital part of the service we provide to Rutgers University, and we are happy to have you as part of our team. The purpose of this guide is help you succeed in your position by providing answer common questions and address concerns you may have as you begin your journey with us.

University Human Resources is responsible for communicating and interpreting the University's policies as they relate to part-time employees. It is important to note that the guidelines, work rules, and policies contained in this guide does not supersede applicable university regulations, policies, and procedures.

Class 4 Employment Classification

 DescriptionAppointment Duration
Class 4 CasualThis appointment should be used for temporary assignments of less than 20 hours per week. Class 4 Casual employees may work a fixed, varied or intermittent schedule, and are paid on an hourly basis.Class 4 Casual employees may be appointed for a period of up to one (1) year at a time, and are eligible for reappointment.
Class 4 SeasonalThis appointment should be used for seasonal assignments. Class 4 Seasonal employees are not restricted in the number of hours worked per week. Seasonal employees receive overtime compensation for time worked over 40 hours per week.Class 4 Seasonal employees may be appointed for a period of up to six (6) months, and may be rehired after a continuous break in Rutgers service of at least three (3) months.

Employment at Will

  • Class 4 employment is “at-will” and your employment may be terminated with or without cause, and with or without notice, at any time at your or the University’s discretion. For more detailed information, review Rutgers University Policy 60.9.52. If the appointment is terminated at the discretion of the University prior to the specified duration, a pre-termination conference is necessary and a termination letter must be given to the employee upon separation. The termination letter template must be used for the termination process.

Compensation

  • Hourly rates are determined by your offer letter.

Direct Deposit

  • You are encouraged to sign up for direct deposit, this service authorizes Rutgers University to deposit all or part of your paycheck directly into your savings or checking account. To set up your direct deposit:

Meals & Breaks (Unpaid)

  • Up to 4.5 hours of work = 15 min break.
  • Over 6 hours of work = 30 min break, which can include the first 15 min.

New Jersey Earned Sick Leave (NJESL)

  • Students are required to notify their supervisor when they are sick and/or unable to work. Student employees accrue sick time according to the New Jersey's Earned Sick Leave Law (NJ ESL). To view your available balance visit: my.rutgers.edu and select the Employee Self-Service tab.
  • In addition to notifying your supervisor, students must record sick time taken by adding a comment on their timesheet. Only hours that the student has already accrued will be paid.

Pay Days

  • The University pays its student employees on a bi-weekly basis (every other week). If you signed up to receive your pay via direct deposit, you may view your paystub online by visiting my.rutgers.edu under the ‘my pacycheck’ tab.
  • If you receive paper pay checks, these are distributed on the Thursday following the end of the pay period. The pay schedule is also available on the Payroll website.

Reporting Your Hours

  • Student employees are required to complete timesheets daily and submit their hours weekly by no later than Thursdays at 12pm. Submitted timesheets are sent for approval from your supervisor. Late timesheets submitted after the Thursday cut off, may not make the current pay-cycle. Falsification of a timesheet is grounds for immediate termination of employment. Time Off and Planned Breaks

  • Planed time off should be discussed and agreed upon in advance between your supervisor.
  • Official breaks include days in which the university is closed.

Work Hours

UHR conducts regularly scheduled system queries and reports to monitor all Class 4 appointment length and hours allowable for Class 3 and Class 4 appointments under Policy 60.1.5 

Class 4 CasualClass 4 Seasonal
Class 4 Casual employees must work an average of less than twenty (20) hours per week. UHR will monitor hours worked by casual appointees on a quarterly basis. Employees whose hours worked average 20 or more per workweek in any given quarter will automatically be converted to Class 3 employees for the remainder of their current appointment; and the hiring unit will be responsible for the applicable fringe benefit rate. Class 4 Casual employees may be appointed for up to one (1) year at a time, and may be reappointed year to year. UHR will also monitor the appointment length of Class 4 Casual employees.Class 4 Seasonal employees may be appointed for up to a six (6) month period, and may be reappointed as long as there is a break in Rutgers service of at least three (3) continuous months. While Class 4 Seasonal employees are not restricted in the number of hours worked per week, UHR will monitor the appointment length of Class 4 Seasonal employees to ensure that the maximum six (6) month appointment limitation is adhered to.



 

Absences

  • If you will be late or are unable to work, you are required to notify your supervisor directly as soon as possible. Failure to notify your supervisor will be considered an unexcused absence. Frequent absences and lateness impair the value of your service and could result in your employment termination.

Appropriate Work Attire

  • You are expected to report to work in attire that is neat, clean and reflects the core values of the University, as well as the specific job you hold. When in question, supervisors have the discretion to make decisions on what constitutes appropriate attire.
  • If reporting into the Lifelong Learning Center, you are required to bring your RU ID card to access the building.

On-the-Job Injury or Illness

  • If you have been injured or has become ill on the job, immediately contact your supervisor. In cases requiring more extensive first aid, please report to the Student Health services office.
  • In the case of a medical emergency, dial 911 or call the Rutgers University Police Department (RUPD) at 848.932.7211. Rutgers Student Health is not an emergency medical center.

On Campus Parking

  • If parking your vehicle on a campus parking lot, you need to purchase a parking permit. To purchase your parking permit, you may visit: ipo.rutgers.edu/dots/parking.
  • If parking at the Lifelong Learning Center, use the link above to purchase an additional permit. To avoid a ticket, additional parking privileges must be purchased and added to your virtual permit.

Punctuality

  • Your supervisor expects you to be at work when you are scheduled to begin and to not leave before the end of your scheduled hours. Your supervisor also expects you to take any agreed-upon breaks. If circumstances prevent you from arriving to work on time, or if you need to leave early, you must make every effort to give your supervisor as much notice as possible.

Rutgers Ethics Program

  • All university employees are expected to abide by a strict ethical code. Please visit ecoi.rutgers.edu to complete your Annual Outside Activity Questionnaire. 

State-Mandated Training

  • Approximately two weeks after your start date, expect to receive an email to complete your State-Mandated Online Training. Topics may include harassment, Title IX, supervision.
