Hiring Process
The following steps must occur prior to starting your onboarding
- Begin by visiting our official employment portal: jobs.rutgers.edu.
- Browse available positions and select the one that best fits your qualifications and career interests.
- Complete the online application form and upload your resume along with any other required documents. Ensure all information is accurate and up-to-date.
- Applications are reviewed based on job experience, qualifications, and other relevant criteria.
- If selected, you will be contacted to schedule an interview, which may take place in person, by phone, or via video conferencing, depending on the position and current university guidelines.
Full-Time Onboarding
Return Offer Letter:
- A signed offer letter must be returned.
Pre-Employment Screening:
- Background Check: If you are selected to move forward, you will receive an email from HireRight (noreply@hireright.com) prompting you to provide personal and previous employment information for a mandatory background check. It’s crucial to respond promptly to this email to prevent any delays in the screening process.
- Immunizations: Under Policy 100.3.1, Rutgers may require proof of Seasonal Influenza vaccination. Prospective employees should speak with their Hiring Manager to determine if this policy is applicable. You will receive an email from no-reply@ipo.rutgers.edu with instructions to upload your vaccination information or to apply for a medical or religious exemption. Please complete this screening within 5 days of receipt. Upon completion, you must forward the confirmation email to your departmental Human Resources Representative. If your exemption request is denied, please forward that email to discuss next steps.
- For NJ State Retirees: For NJ State Retirees: Our office will contact you to complete the appropriate paperwork. Employment cannot move forward until all required forms are completed and approved by UHR.
I-9 Employment Eligibility Verification:
- The Immigration Reform and Control Act of 1986 requires all employers to certify the identity and work eligibility of all new employees. Accordingly, all new hires are required to complete the Form I-9 to verify their eligibility to work in the United States.
The University New Employee Orientation is designed specifically for new full-time employees to learn more about Rutgers and help them to successfully acclimate to the University. Participants will also receive information on the many opportunities and array of benefits afforded to them as a Rutgers employee, including health plans, paid time off, and pension programs. Your orientation session will be session on or near your first day of employment, meeting details will be located on your offer letter.
University Human Resources has prepared a New Employee Welcome Guide that helps new employees navigate the New Hire Process and provide valuable links to resources and community information. This guide should be communicated to your new employee during your department/unit's Onboarding Process.
Activate Your NetID:
- All Rutgers employees require an active NetID to access essential information. Use this link to activate your NetID: netid.rutgers.edu
Access MyRutgers Portal:
- View and update personal and payroll information online through PeopleSoft Management: Employee Self-Service. Once you have an active NetID, you may log in to my.rutgers.edu. Follow the step-by-step instructions on how to set up direct deposit.
Submit FlexWork Application:
- Eligible staff must submit a FlexWork application via the MyRutgers Portal my.rutgers.edu located in PeopleSoft under Self-Service. Be sure to discuss the application with your manager.
Obtain RUID Card:
- This card serves as your official University identification card and can provide access to certain areas of the University. The RU ID card is required for entry into the Lifelong Learning Center. To obtain your RUID card please visit https://ipo.rutgers.edu/publicsafety/iam/staff-faculty-guest-id
Purchase Parking Permit:
- If you are parking your vehicle on a campus parking lot you need to purchase a parking permit at: ipo.rutgers.edu/dots/permits/faculty-staff
Login to DoCS HRM:
- The DoCS HRM portal: docshr.rutgers.edu is the centralized HR Management system used by all DoCS Staff. For tutorials on how to use various modules in the portal, please reference our DoCS HRM Tutorials
Complete Required Training:
- Rutgers Ethics Program: All university employees are expected to abide by a strict ethical code, and are required to review and become familiar with copies of the Rutgers University Code of Ethics and the Rutgers Plain Language Guide to Fundamental Ethics and Conflicts Rules Established by State Law, Federal Law, and University Policy. Please visit ecoi.rutgers.edu to complete your Annual Outside Activity Questionnaire.
- Unlawful Harassment Training: New Jersey State requires all employees complete State-Mandated Online Training; topics may include harassment, Title IX, supervision, and COVID-19. It takes approximately two weeks after you are officially active in the system for you to receive an email. You will need an active NetID to log into the system.
Submit Qualtrics NE Timesheets:
- Non-exempt employees are required to complete a NE Timesheet for each day they are scheduled to work. Instructions on how to complete timesheets for both NE employees and supervisors will be sent in a separate email.
